We have had more than 24 years experience of servicing many local Institutes & Universities including Monash University, Deakin University, Victoria University, RMIT University, Swinburne University, Gordon Institute, and many others.

Harlan Transport possesses a fleet of many vehicles from 4 & 7-seat cars, 13 & 24-seat minibuses and luggage trailers, 42, 48, 52 & 54-seat luxury coaches.

All services are fully controlled and managed in-house thanks to our established procedures and state-of-the-art online Airport Pickup System.

We do not outsource or pass on any pickup service to third party providers such as limousines or bus companies like others in the industry. This ensures the ultimate level of service tracking, reliability and safety for your students.

Our drivers are accredited, well-trained, hold update-to-date WWCchecks and are experienced in dealing with students from diverse cultural backgrounds, especially ones from Asia and Middle East.

Harlan services

We have an online booking system where students can make their own booking for airport pick up directly with us. Students can make booking up to 12 hours before their arrival. They are also able to update or cancel booking online which will notify Harlan immediately in case of flight delayed or cancelled etc.

We have a 24-hour emergency phone number service for sole use by students.

During peak intake period, we have a dedicated staff member who works at the airport every day and is there to meet & greet students and arrange their transport. From time to time, it may be necessary to mix students from different Universities who are travelling to the same destination.

If new students happened to arrive unannounced and they have not made an online booking, we are still able to arrange their airport pick up due to their safety. Those students must provide their enrolment or acceptance letter to prove they are eligible for the service. We will then send this information on to the University for verification and then enter to our system.

If students are a ‘No show’, the University will still be charged. If the student arrives unannounced at a later stage such as later in the evening or the following day, there will be an additional charge applied as a second pick up charge. Therefore, it’s important that students have to make sure to provide Harlan with their accurate arrival details as well as notify us of any change of their flight.

Pricing Structure

Our price is fixed at per head with no-hidden fees which makes the pricing clear cut and budgeting easier.

  • No hidden fee, No cancellation fee, No extra charges e.g. road tolls or parking fees, No late night or early morning arrivals or public holidays, or excessive luggage charges (as Harlan allows up to 70kgs per student)
  • We can also accommodate bulky items such as surf boards, bicycles, and musical instruments (must be advised prior and may incur additional cost to students who pay directly to Harlan drivers)

Students are not required to pay any extra out-of-pocket money at all (unless they have accompanying persons travelling with). This increases students’ impression and satisfaction of arrival service provided by the University.

The monthly invoices are generated from the same online system that students use to book for airport pickup and they contain all booking details such as student name, ID, and flight details which ensure billing accuracy.

The system also offers university access to comprehensive reports and statistics of Monthly and Daily bookings, percentage of Students’ Genders and Country of origin and Drop-off Suburbs. This better assists the institution with future projections and service planning.

Transport capability

Harlan is a well-established, fully accredited and insured transport operator and has been running reliably since 1991. We hold Public Liability insurance of 40 million.

We have a fleet of many vehicles from cars, 7 seats Station wagon, 13 seats minibuses, 24 seats minibuses and luggage trailers, 42 seats, 48 seats 52 and 54 seats coaches. This enables us to deliver a large number of student arrivals per day during peak intake. With strong transport capability, we do not outsource our services. This ensures full control of service quality and safety.

All vehicles are clean and roomy with air-conditions and seat-belts. We have a number of trailers ready to be able to carry students’ bulky luggage.

All buses have gone through a safety check and are cleaned before each departure as well as scheduled maintenance quarterly to ensure we are providing students with ultimate safety and comfort.

Duty of care

Harlan has over 27 years of experience servicing International students. Management consists of myself, Harrison Jorre de st Jorre and my wife Elizabeth and we both take it very personal when dealing with International students in a professional manner.

All our staff are well-trained to be responsive and aware of recognising any unusual activity that may occur regarding student safety such as flight delays and cancellation. Moreover, we make sure students under 18 being handed over to their hosts safely.

Harlan drivers are friendly, and experienced when dealing with international students from diverse backgrounds. We are always pleased to assist students with luggage.

Online booking system

University staff, authorised agents and international students can access to this online booking system 24/7 to make, update or cancel bookings. Students therefore can update their situation if their flight gets delayed or cancelled. This helps company admin and drivers always obtain students’ updated status which is to guarantee their safety.

The booking form is well-developed with intelligent input validation for arrival date, airline, flight number and drop-off address to make sure all inputted booking details is complete. Additionally, it permits students to supply additional information about excessive luggage, bulky items and accompanying family members. This enables Harlan better to prepare and deliver quality service.

The system is specifically designed for our existing clients. However, upon your request we can modify it to adapt to your very specific service procedure needs. You are required to contact us as soon as possible about your intention of using our service and wish of system customisation as this will take time to implement.

Booking Management Dashboard for University

University staff is provided with a powerful dashboard hosting a wide range of features to ease their job.

There are 3 main sections (1) Bookings Management, (2) Students Management, and comprehensive (3) Booking Statistics.

In addition, upon request we can also grant your authorised education agents limited access to the dashboard, where they can manage all airport pickup bookings of their students.

Although our online system is very well-designed based on our best practical experience working with many instititutions, we’re happy to customise it to adapt your current pickup service procedures and requirements.

The system allows the students to book directly with us and their booking will be confirmed immediately automatically, otherwise you also have the choice to fully control your student bookings through manual approval and rejection processes.

Booking management

University staff have access to complete records of all bookings made by students themselves, university staff and agents. Information is presented in clean and neat table layout for easy tracking and monitoring.

In addition, booking records can be easily searched and sorted by created date/time, Student name, Student ID, and Student email.

It captures Student personal details, Arrival information as well as Additional information such as luggage and accompanying persons.

Agents will also be able to receive a copy of booking confirmation if they put their email in “Agent email” field.

Student Management

University staff can manage Student records in our system easily with all necessary features including student record creation, deletion, update, search and filter.

The system provides the institutions with comprehensive statistics of Monthly and Daily bookings. It also offers information about percentage of student’s Genders, Country of Origin, and Suburbs (drop-off locations).

Depending on your specific reporting needs, information can be presented in Bar Chart, Pie Chart, Line Graph and Table.
